Ameliorate ("we", "us", "our") is a consulting business based at 924 Anton Street, Moreleta Park, Pretoria, South Africa. We provide practice setup, project management, procurement, technology, branding, staffing and finance facilitation services to medical practices and businesses.

Ameliorate is the responsible party for the personal information described in this policy, as defined in the Protection of Personal Information Act, 4 of 2013 (POPIA).

2. Information we collect

We only collect information that is necessary to respond to your enquiry and to deliver our services. This may include:

• Contact details you submit through our forms, such as your name, business or practice name, email address and phone number.

• Practice and project information you share with us, including specialty, project scope, timelines and budget indications.

• Documents you upload, such as quotations, specifications and business registration details.

• Enquiry and correspondence records, including messages sent through our contact, intake and quotation forms.

• Basic technical information generated by your browser when you use this website, such as pages visited and approximate location.

3. How we use your information

We use your personal information to respond to enquiries, prepare quotations and proposals, coordinate suppliers and service providers on your behalf, manage projects, comply with legal and tax obligations, and improve the relevance of our website and services.

To deliver a project we may share the minimum necessary information with vetted suppliers, contractors, finance providers, IT and software partners, and professional advisers such as accountants or attorneys. Where information is shared, we require recipients to protect it and use it only for the purpose for which it was provided. We may disclose information where we are legally required to do so.

5. Health and patient information

We do not ask for and do not intentionally collect patient medical records. Please do not submit patient information, clinical records or sensitive health data through the forms on this website. If a project requires access to such information, we will put a separate written agreement and security arrangement in place before any access is granted.

6. How we keep information secure

We apply reasonable technical and organisational safeguards to protect personal information against loss, damage, unauthorised access and disclosure. These include restricted access, password-protected systems and secure storage.

No method of transmission or storage is completely secure. Where we become aware of a security compromise affecting your personal information, we will notify you and the Information Regulator as required by POPIA.

7. How long we keep information

We keep personal information only as long as is necessary for the purpose it was collected, or as required by law. Enquiry records that do not lead to a project are generally retained for up to 24 months. Project and financial records are retained for the periods required by South African tax and company law.

8. Your rights

Subject to POPIA, you may request access to the personal information we hold about you, request correction or deletion of that information, object to processing, or withdraw consent where processing is based on consent.

To exercise any of these rights, email info@ameliorate.co.za. We may need to verify your identity before acting on a request, and we will respond within a reasonable period.
